Trillium Professional is now seeking a part-time, remote Case Manager!

This is part-time, 20 hours per week. Some flexibility to work nights or weekends may be required. Pay rate is $37/hour.

Part-time Case Manager to support its Absence Management team. This position is responsible for coordinating employee leaves of absence, workplace accommodations, disability events, and workers’ compensation cases.

The Case Manager will manage an assigned caseload in coordination with third-party administrators and internal departments. The individual will help ensure that employees receive a smooth, responsive, and compliant experience throughout an absence or return-to-work event.

This position requires knowledge of FMLA, state paid family and medical leave programs, ADA accommodations, disability benefits, workers’ compensation, and other federal and state leave requirements.

Primary Responsibilities:
-Serve as a primary point of contact for employees with questions regarding leaves of absence, disability benefits, workers’ compensation, workplace accommodations, and available leave options.
-Provide comprehensive case management throughout an employee’s leave or workplace injury.
-Coordinate with third-party administrators to ensure leave and workers’ compensation cases are processed accurately and in compliance with applicable laws and company policies.
-Track employee leave cases, workplace injuries, absences, modified-duty arrangements, and return-to-work plans.
-Maintain regular communication with employees, managers, healthcare providers, vendors, and internal stakeholders.
-Educate employees and managers regarding leave procedures, documentation requirements, time entry, and return-to-work expectations.
-Ensure compliance with FMLA, PFML, ADA, disability, workers’ compensation, and other applicable federal and state regulations.
-Maintain accurate and timely records within the organization’s HR and timekeeping systems.
-Monitor cases for missing documentation, compliance issues, potential delays, and other barriers.
-Adjust case-management plans as an employee’s circumstances or medical needs change.
-Protect confidential employee, medical, and disability information.
-Partner with HR, Benefits, Payroll, Safety, Legal, Labor Relations, managers, healthcare providers, and third-party administrators.
-Prepare reports regarding employee leaves, workplace injuries, modified-duty arrangements, and absence trends.
-Provide timely updates to employees, managers, and other stakeholders.
-Manage competing priorities and maintain an organized caseload.
-Follow all Boston Medical Center standards of performance, conduct, safety, and infection-control procedures.
-Perform additional duties as assigned.

Leave of Absense Responsbilities:
-Assist with the administrative processing of leave-of-absence requests and approvals.
-Manage and respond to requests received through the Absence Management email inbox.
-Verify employee eligibility for leave in partnership with the third-party administrator.
-Explain the leave-request process to employees and managers.
-Assist managers with leave administration and employee time-entry procedures.
-Coordinate with short-term and long-term disability providers regarding wage-replacement benefits.
-Process incoming leave-related emails, faxes, forms, and supporting documentation.
-Enter and maintain leave-related information in Kronos and other applicable systems.
-Prepare employee correspondence, approval letters, and manager notifications.
-Run reports covering all aspects of employee leaves.
-Provide administrative support for employee absences and time-off matters.
-Participate in monthly claims reviews with the third-party administrator.
-Compile information regarding open claims for review and discussion.
-Update biweekly leave reports used to identify organizational absence trends and patterns.
-Troubleshoot leave issues and resolve barriers before, during, and after an employee’s absence.
-Respond to employee-impacting issues that arise during a leave event.

Worker’s Compensation Responsibilities:
-Provide administrative and case-management support for workers’ compensation claims.
-Gather medical records and other necessary documentation and forward the information to the workers’ compensation vendor.
-Assist injured employees with questions or concerns regarding the claims process.
-Collect timely information regarding employees who have experienced a work-related injury or illness.
-Identify potential concerns or red-flag issues and notify management promptly.
-Educate managers regarding internal workers’ compensation procedures.
-Audit employee records to determine when an injured employee may also require a formal leave of absence.
-Participate in meetings with Labor Relations, HR business partners, and other stakeholders as needed.
-Participate in quarterly workers’ compensation claims reviews.
-Assist with claim processing and follow up with employees to ensure compliance with documentation and treatment requirements.
-Coordinate with Payroll and the third-party administrator to ensure employees receiving indemnity benefits are paid correctly.
-Track workplace injuries, related absences, work restrictions, and modified-duty arrangements.

-Bachelor’s degree or equivalent relevant professional experience required.
-HR certification such as PHR, SPHR, or CCP is preferred
-Minimum of two years of relevant professional experience required.
-Experience administering FMLA, state PFML programs, out-of-state statutory leaves, disability benefits, ADA accommodations, or workers’ compensation is preferred.
-Experience working with third-party leave, disability, or workers’ compensation administrators is preferred.
-Healthcare or large-enterprise HR experience is beneficial.
-Kronos and Workday experience is preferred.

Skills:
-Strong knowledge of federal and state laws, regulations, policies, and procedures concerning employee leaves, workplace accommodations, disability designations, occupational injuries, and other workplace absences.
-Knowledge of FMLA, PFML, ADA, short-term disability, long-term disability, and workers’ compensation requirements.
-Strong case-management and organizational skills.
-Strong Microsoft Office skills, including Excel and spreadsheet management.
-Accurate data-entry, recordkeeping, and reporting skills.
