Trillium Professional is now seeking a Human Resources Manager / Generalist for direct-hire in Simi Valley, CA!

The Human Resources Manager is responsible for managing and overseeing the company’s Human Resources function and serving as a trusted advisor to ownership and management.

The HR Manager supports employees while maintaining a primary professional responsibility to ensure the company follows sound, consistent, ethical, and legally compliant employment practices. This position proactively identifies and addresses HR-related risks, maintains accurate documentation, supports management in employment decisions, and helps create a productive and accountable workplace.

The HR Manager is expected to exercise sound judgment, maintain confidentiality, take ownership of assigned responsibilities, meet deadlines without repeated reminders, and proactively bring significant HR, compliance, employee-relations, and workplace risks to management’s attention.

Essential Duties and Responsibilities:
Employment Compliance & Risk Management
-Maintain knowledge of applicable federal, California, and local employment laws and ensure company practices remain compliant.
-Monitor legal and regulatory changes and proactively recommend updates to policies, procedures, and the employee handbook.
-Oversee compliance involving wage and hour, meal/rest periods, overtime, employee classifications, leaves, accommodations, anti-harassment requirements, required postings, notices, and acknowledgments.
-Proactively identify HR, employment, safety, and compliance risks; promptly escalate significant concerns or potential liabilities to management.
-Support consistent, legally compliant, and appropriately documented employment decisions.

Policies, Employee Relations & Investigations
-Maintain, communicate, and consistently administer company policies, procedures, and the employee handbook.
-Serve as a professional and objective HR resource for employees and management.
-Address employee complaints, workplace conflicts, and employee-relations matters promptly and confidentially.
-Conduct or coordinate timely, impartial, and properly documented workplace investigations.
-Identify and escalate potential discrimination, harassment, retaliation, wage-and-hour, safety, or other employment-related concerns.

Performance Management & Corrective Action
-Facilitate performance reviews and ensure they are completed accurately and on schedule.
-Assist managers in establishing clear expectations and addressing employee performance and accountability.
-Prepare and maintain appropriate documentation for coaching, written warnings, corrective actions, performance improvement plans, and other disciplinary matters.
-Track corrective actions through completion and ensure appropriate management follow-up.
-Support management with terminations, documentation, and procedures.

Recruiting, Hiring & Onboarding
-Manage recruiting and hiring activities, including job descriptions, job postings, candidate screening, interviews, and pre-employment requirements.
-Coordinate and document new-hire onboarding, required forms, acknowledgments, orientation, and training.
-Support employee retention, engagement, development, and cross-training initiatives.

Payroll, Benefits & HR Administration
-Oversee/Process HR-related payroll and timekeeping administration and maintain accurate employee information within ADP.
-Ensure compensation, deductions, benefits, paid time off, employee status changes, and other payroll information are accurate and processed timely.
-Review payroll/HR notices and updates, promptly investigate discrepancies, make necessary corrections, and maintain supporting documentation.
-Administer employee benefits, including enrollments, changes, terminations, and coordination with employees, brokers, and benefit providers.
-Administer applicable leaves and accommodation processes and maintain required confidential documentation.

Workers’ Compensation, Unemployment & Safety
-Coordinate workers’ compensation claims, workplace injury reporting, return-to-work matters, and required documentation.
-Coordinate with insurance carriers, brokers, medical providers, and management as necessary.
-Respond to unemployment claims and maintain supporting documentation.
-Support workplace safety programs and required training and proactively report conditions that may create safety, insurance, or liability exposure.
-Manage insurance audits

Employee Records, Training & Documentation
-Maintain complete, accurate, organized, timely, and confidential employee and HR records.
-Maintain appropriate separation and confidentiality of personnel, medical, investigation, and other protected records.
-Conduct periodic HR and personnel-file audits to ensure required documentation is complete and current.
-Coordinate and track required employee and management training, including harassment-prevention and compliance training.

Management & Ownership Support
-Serve as a trusted HR advisor to ownership and management regarding hiring, compensation, performance, discipline, employee relations, accommodations, leaves, and terminations.
-Provide timely, objective, and well-supported recommendations and promptly communicate significant HR risks.
-Recognize matters requiring employment counsel or other professional guidance and escalate them appropriately.
-Follow through on management directives and provide timely status updates on outstanding HR matters.

Accountability & Performance Expectations
-Take ownership and accountability for the HR function and assigned responsibilities.
-Work proactively and independently, completing responsibilities accurately and within established deadlines without requiring repeated reminders.
-Maintain strong organization, attention to detail, and consistent follow-through until matters are fully resolved.
-Maintain accurate and current HR systems, records, documentation, and compliance requirements.
-Identify problems, errors, deadlines, and potential risks proactively and communicate them to management promptly.
-Correct errors promptly and implement processes to prevent recurrence.
-Exercise sound professional judgment, maintain strict confidentiality, and know when matters require escalation.
-Apply company policies consistently, fairly, professionally, and objectively.
-Maintain professional and respectful relationships with employees and management while appropriately representing the company’s interests and legal obligations.

Qualifications
Education & Experience:
-Bachelor’s degree in Human Resources, Business Administration, Management, or a related field preferred.
-3-5 years of HR experience with increasing responsibility and independent ownership of core HR functions preferred.
-Prior experience independently managing HR responsibilities in a small or mid-sized California employer strongly preferred.
-Experience with employee relations, performance management, payroll/HRIS administration, benefits, workers’ compensation, and leave administration preferred.
-Experience with ADP or comparable HR/payroll systems strongly preferred.

Professional Certification
-PHR, SPHR, SHRM-CP, SHRM-SCP, PHRca, or similar professional HR certification preferred but not required.

Knowledge, Skills & Abilities
-Strong working knowledge of California employment practices and applicable federal employment requirements.
-Exceptional organizational skills, attention to detail, accuracy, accountability, and follow-through.
-Ability to independently prioritize, multitask, meet deadlines, and manage a fast-paced workload and urgent matters.
-Strong judgment, initiative, and problem-solving skills; proactive in identifying issues and following them through to resolution.
-Excellent written, verbal, interpersonal, telephone, and professional communication skills.
-Professional, approachable, objective, and appropriately assertive when necessary, including during difficult or sensitive situations.
-Strong documentation, recordkeeping, and confidentiality practices.
-Ability to recognize potential employment and compliance risks and escalate matters appropriately.
-Proficient in Microsoft Word, Excel, Outlook, HRIS/payroll systems, email, and electronic recordkeeping.
-Ability to work effectively both independently and as part of a team.
