Trillium Professional is now seeking an Administrative Assistant in Longview!

The Timekeeper provides administrative support to project teams, focusing on accurate timekeeping and related tasks, as directed by management.

Key Responsibilities:
Timekeeping & Data Entry:
-Enter and reconcile employee time records daily, weekly, and monthly.
-Verify previous time entries and input new hires using site/client-specific systems.

Accounts Payable Support:
-Match bills with purchase orders, resolve discrepancies, and confirm correct items and quantities are received.

Documentation & Coding:
-Process and track job numbers, purchase orders, and tag numbers using designated forms or software.

Issue Resolution:
-Troubleshoot and report any timekeeping problems such as missing hours, errors on sign-in sheets, or schedule mismatches.

Invoice Processing:
-Prepare and verify invoices by checking total hours and invoice amounts according to procedures.

Meetings & Communication:
-Participate in regular meetings to stay updated on work schedules and priorities.

Administrative Tasks:
-Complete various office duties as assigned by management.

-Provide general office support during staff absences or busy periods.
-In the absence of the Site Office Manager, help prioritize tasks and adjust work schedules under management guidance.

-High school diploma or equivalent (Associate’s Degree in Business preferred).
-1–3 years of timekeeping or data entry experience, preferably in construction.
-Familiarity with TRACK software is a plus.
-Proficiency in Microsoft Excel.
-Strong communication, organization, and leadership skills.
-Ability to handle sensitive/confidential information professionally.
-Occasionally required to stand, walk, or lift up to 10 lbs.
